We’ve made several updates to IDS4 to make everyday tasks easier. These updates include new email capabilities, report delivery defaults, respondent export improvements, and expanded permissions.
Here’s what you need to know.
Email Respondent Codes
In IDS3, this feature was called Email List of Passwords. In IDS4, it is now called Email Respondent Codes.
Users can now select respondent codes from a link and email that list directly from the IDS4 platform.
How to Use It
- Navigate from a folder to the applicable link.
- Open the link that needs to be managed.
- Go to the Respondent Codes tab.
- Select the respondent codes to include in the email.
- Use the Bulk Action menu, then select Email Respondent Codes.
- Add recipient email address(es) and send.
Report Delivery Method at the Account Level
Users can now set a default Report Delivery Method at the account level.
Navigate to Settings → Customization → Report Defaults → Delivery Options.
Available options include:
- Attached to email
- Link in email
Once saved, this default automatically applies to any new link created and to reports emailed directly from the system. This saves users from having to re-select the delivery method each time.
Default Multi-Graph PDFs
The default multi-graph PDF page is now available as a report customization option alongside the Graphs-only PDF. Users can select this single-page graph summary from the Report Version dropdown on a report record, when emailing reports, or through bulk download, making it easier to quickly access the PDF without navigating into each individual report.
Report Printing Question Removed
The report printing question, which asked respondents whether they would print to a color printer when receiving a copy of their report after completing the assessment, has been removed.
This question was causing black-and-white reports to be generated, so it has been removed, and reports should no longer be affected by that setting.
Personalization Tokens Across All Emails
Personalization tokens, such as inserting a respondent’s name, were previously available only in reminder emails.
This functionality is now available across all email-sending features on the platform, allowing users to personalize any email they send.
Respondent Export Spreadsheet Updates
Several updates have been made to respondent export spreadsheets:
- Column headers have been updated to align with IDS4 platform terminology.
- Column order has been reorganized based on partner feedback.
- Sort order has changed from alphabetical to created date, newest to oldest.
- The filename has been reformatted for clarity: respondent-export-[Link Code]-[Year]-[Month]-[Day]
Permissions Updates
Expanded Report Conversion Permissions
Users with Folder or Link access can now convert reports. This includes:
- Converting one report type to another.
- Upgrading a report in place.
- Merging reports into a larger report.
For Link-level users, the Create Reports permission must be enabled to use these capabilities.
Billable Operations Permission
When inviting a new folder user or managing an existing user with folder access, account admins will now see a Billable Operations permission.
When this permission is turned off, the folder user cannot:
- Create or edit links.
- Create new respondent codes.
- Create new reports.
GDPR Permission
There is now a GDPR permission at the folder user level. Account Administrators can now enable this permission for folder users when it is appropriate for them to manage GDPR settings and erasures.
IDS4 Name Card Feature Updates
The IDS4 Name Card feature now includes legacy IDS3 options for name badges and table tents. This supports users who preferred the previous one-page name badge layout instead of the newer two-section format. No updates were made to the legacy options, other than that they are now available to generate via IDS4.
